Definitions of some useful terms to help you get eDiscovery done with Logikcull.

Bates Numbers

Bates numbering is an indexing method used for legal, business, and medical documents. Bates numbering assigns unique identifiers to each page in a collection of documents to provide a reference point. Also known as Bates stamping, Bates branding, or Endorsements.

Bulk Keyword Search + Search Term Reports

A way to search when you have many parameters to input. Search terms can be easily copied and pasted from a document into the bulk keyword table and be search individually or combined.

CSV Download

For Project Admins and Account Admins, this is a tool in Logikcull that can be leveraged to create Search Reports/Privilege Logs (accessible in the Search tab on the right above the main search bar).

Culling

Culling a document will hide it from view and prevent it from being returned in searches. The Unculled and Culled views are mutually exclusive: a document can only be in one or the other, but not both. Culling a document doesn't delete it. Your culled document is simply sequestered in a filtered view that you can access again if needed.


Custodian

The Electronic Discovery Reference Model (EDRM) defines a custodian as a β€œ[p]erson having administrative control of a document or electronic file; for example, the data custodian of an email is the owner of the mailbox which contains the message.” Custodians are added as part of a Legal Hold or when uploading data into a project.

Deep Text Recognition (DTR)

DTR extracts "deep text" from embedded images in supported file types (see here), revealing important searchable text that might have been missed by OCR. For example, a document with text and screenshots that contain text will have the entire image searched for Latin characters -- both the document and the embedded screenshot images.


Deduplication

Deduplication, or "dedupe," filters out identical document copies in a project. There are three filter views available in the filter carousel: Global (across all custodians), Custodian (within data of a single custodian), and No Dedupe (all duplicates visible).

Download PDF

You have the option of quickly and easily downloading search results directly to PDF by selecting "Download PDF" from the search menu.

Downloads/Productions

A download exports a collection, or production set, of documents out of Logikcull. You will need a saved search to initiate a download. A saved search can have as many (or as few) parameters applied as you’d like. You can select what work product to include or exclude, and choose how to produce images, natives and text files. Endorsements

Endorsements are text-based β€œstamps” placed on the top left, top right, bottom left, bottom right of document images. Options include endorsing with page numbers, Bates numbers, file names, tag-based, or custom (e.g., print the word β€œConfidential”).

Family Status

  • Standalone: Documents that have no embedded files or attachments (e.g., .JPG image).

  • Child: Documents that are part of a family and not the parent document (e.g. attachment or embedded file).

  • Parent: Documents that have attachments or embedded files and are not a child document themselves (e.g. email with an attachment).

Filter Facets

The individual, selectable filters within each category column in the Filter Carousel. (For example, within the Tag filter, there are facets for "Hot," "Responsive," "Non-Responsive," etc.)

Image files

A file format for a digital image, such as PDF, TIFF, or JPEG. Image files will typically make up a portion of the download production, which can also include load files, text files, and natives. Learn about Download Productions here.πŸ”—

Load Files

A Load file is a table of delimited information that contains all the metadata fields associated with each document. It can be in CSV or DAT format for metadata load files and OPT or LFP for image load files. A production upload or download will contain four parts: a DAT/CSV load file, a LFP/OPT image load file, a TEXT file, and the Native versions of the documents. Essentially, the load files are tables of data that link the metadata to the corresponding documents in the production.

Legal Hold

A legal hold is a process that an organization uses to preserve all forms of potentially relevant information when litigation is pending or reasonably anticipated.

MD5 Hash Value

Hash values are like a fingerprint for a file. The contents of a file are processed through an algorithm that calculates a unique numerical value based on the content and metadata of the file, called a hash value. Logikcull uses the MD5 algorithm for hash value calculations, and it is this value that determines the file's uniqueness for purposes of deduplication. Metadata

Data about data. Metadata can include such information as created date, last modified date, file size, and email header information. Metadata is not typically visible while using a printed version or on a screen.


Native Files

A native file is the original version of an electronic file as it existed in the application where it originated. Logikcull does not modify native files in any way.


OCR

Optical Character Recognition is a process by which documents without text (such as a picture of a receipt or a pdf without a text layer) will be scanned to generate searchable text based on the characters recognized on the image.

Overlay

A way to modify parts of a database upload without having to re-upload the entire volume (does not work for File Uploads). For example, a metadata field is formatted incorrectly, or text or images need to be replaced, one can request a corrected load file from the producing party and overlay the previous data with the corrected data.

PII

Stands for Personally Identifiable Information, which consists of various types of personal information that could be used to identify an individual. Some examples of PII include names, phone numbers, bank account numbers, and social security numbers. Logikcull identifies PII on eligible files uploaded into your project, and will assign a "PII Detected" Auto Tag to documents in which PII is detected with a 75% or greater confidence level.

Project

Where the work on a case or matter resides within the Logikcull account. One project can have multiple uploads, saved searches, or downloads.


Auto Tags

These are "Quality Control" Tags automatically applied by Logikcull during upload post-processing. Auto Tags are an effort to alert you to information about your data that may be important to your project, such as which documents were OCRed, if metadata was imported, whether there is a duplicate, etc. What are Auto Tags?πŸ”—

Saved Search

User Permission Levels
