Sharing Production Files with ShareSafe

If you're a Logikcull user with access to Downloads, you have the option to securely share Downloads with individuals who are NOT users in your Logikcull account using a feature called ShareSafe.

How do I share a Download?

You can share a new Download on Step 4 of the Download form which will automatically share the download with the ShareSafe recipient(s) once the Download completes processing, or you can share an existing Download after the download process is completed. We recommend using the latter option for sharing files with outside or adversarial parties.


Option 1 - Share a new Download automatically once the download completes processing

On Step 4 of the Download, click "Securely Share" at the bottom of the download pane.

This will open the ShareSafe form below:

  1. Open or close the ShareSafe form.

  2. Add emails to share with. You can paste a list of emails or type them into the form. Email addresses can be separated by commas or semicolons.

  3. Add an optional custom message, which will appear in the body of the email invitation.

  4. Set an expiration for the download link. A separate email will be sent to each individual invitee, with each email carrying a unique token. This token will expire automatically after a period of your choosing, or if a new invitation is sent to the same individual.

  5. Receive an email notification when someone accesses the shared file for the first time.

  6. Cancel share. This closes the form and stops the share from proceeding. Your work won't be saved if you click this button, so proceed with caution.

  7. Create and Share Download. This will kick off the download you created, AND automatically share the download with your recipient(s) as soon as it's completed.


Option 2 - Share an existing Download after the download process is completed.

From the Downloads tab, choose a download card and click "Share."

The ShareSafe form will appear. Complete the form and click "Share Secure Link."


Managing a Shared Download

Downloads that have been shared are annotated in the top right corner of the download card under the Downloads Tab with the below label:

Where can I see a list of recipients that have received shared files?

Under the Downloads tab, click the "Share" button in the download card to access the ShareSafe form, then scroll down to the bottom of the form to see sharing history and actions:

Every recipient's access status is reported:

  • Expired shares are inactive because the link has expired.

  • Access Revoked shares are inactive because "Revoke Access" was pressed

  • Pressing "Revoke Access" will cancel the share for that recipient.

  • Pressing "Resend Email" will send a new invitation and link to the recipient.

What does a ShareSafe recipient see?

ShareSafe recipients will receive an email from notifications@logikcull.com containing a link to access the shared files. Please review the instructions below for "Accessing Shared Production Files" for details.


Accessing Production Files Shared with Me

If you received an email inviting you to access and download a file like the message screenshot below, click "Access File." After clicking ‘Access File’, a new browser tab will open.

Some tips to keep in mind:

  • If you don't have a Logikcull user account, you’ll be prompted to enter your name, organization, and password to create an account and access the shared file.

  • If you are brought to a login window but don't have a username and password, you can create a free account to access the file at app.logikcull.com/signup.

  • If you have received multiple file access invitations, make sure to follow the link in the most recently received email.

Reviewing Shared Files in Logikcull using InstantReview

Once logged in, selecting the Shared Files icon in the left navigation will display all items shared with you, and will note if the share has expired or if it is available to Review or Download:

If the ‘Review’ button is selected and the shared file is compatible, you will be given the option of adding the files to an existing or a new project:

Step-by-step instructions for reviewing ShareSafe files in Logikcull

  1. Click "Shared Files" from the left navigation bar.

  2. Click "Review" next to the file you want to access.

  3. On the Add Shared Files window that appears, you can select to add the shared files to an existing project or to create a new project.

  4. Select the destination project and click "Review" at the bottom of the page.

  5. The file will begin uploading to the selected project in your own Logikcull account. Once completed, the "Review" button will be replaced with "View In Project" on the download card under the My Shares page.

Downloading shared production documents to my computer

  1. From the My Shares page, click "Download" next to the file you want to access.

  2. The ZIP file will begin downloading to your computer, according to your computer's download settings. If the sender of the shared files selected to include load file(s), the load files will also be included in the downloaded ZIP.

Things to Note:

  • If you do NOT access a shared production before it expires, you will not be able to access the shared files and will need to ask the user to re-share the files with you.

  • If you have added a shared production to a project for review via InstantReview, you will retain access to the shared files even if the share is expired. You can simply click "View in Project" to access the files.

Troubleshooting Shared Downloads

Why can't I review my ShareSafe file in Logikcull?

For a shared file to be compatible with InstantReview, it must:

  1. Have been created on or after 11/26/19.

  2. Be contained in a single ZIP volume (no multi-part ZIPs).

  3. Include a load file. Load file should at the least contain fields for bates/control numbers and text/native file links (if applicable).

  4. Images named as Document Number (not as 'original filename'.)

  5. If applicable, Natives named as Document Number (not as ‘original filename’.)

  6. Total size is under 100 GB of data (anything over 100 GB of data will not be able to be shared using IR).

If you are unable to review a file shared with you because it is incompatible, we suggest asking the producing party to recreate and share a download that complies with the specifications outlined above. If the producing party needs help with recreating the production, please advise them to contact our support team and we'd be happy to assist!

⚠️ Warning: a load file with duplicate field names (for example, duplicate begin/end document numbers from multiple productions with the same name) will not be compatible with Instant Review. This can be prevented by either re-naming or excluding duplicative field names.

An invitation was forwarded to me and I need access to the file.

ShareSafe invitations are strictly available only to the individual recipients specified by the sender. You will not be able to view the file if:

  • You need access and haven't received an invitation to view, or

  • You received a forwarded message containing an invitation to access a file but the message was not originally sent directly to you.

Here are some options you might consider:

  1. If the original recipient created a Logikcull project to view the file, make a request to the original recipient to add you as a user in that project; or

  2. Make a request to the original sender to share the file with your email address.

I'm being prompted to sign into Logikcull when I click on an invitation.

If you are brought to a login page but have not yet set up a user account, it's likely because you've clicked on an expired invitation link. The fastest way to resolve this is to create a new user account at app.logikcull.com/signup, making sure to use the exact same email address that received the invitation to access the file. Once you've established login credentials, you should be able to follow the instructions to view the shared file within Logikcull.
